Type and Size of Files that can be uploaded

What type of files can be uploaded into a room?

To load files into a room, please refer to the article:   How to load files into a room

  • In all created rooms, any type of file can be uploaded. 
  • These files are available for download by the Participants at the Presenter's discretion
  • This can be managed by making the files visible/invisible as shown below.

Only the following files can be opened or played within a session:

  1. Microsoft  Word / Excel / PowerPoint will be converted to PDF files and shown as PDF slides in the session
    • Once downloaded, participants will receive the file in the original Word, Excel or PowerPoint format
  2. The audio and/or video files MP3, MP4 or MOV can be played as they are (audio/video depending on the format)
    • Once downloaded, participants will receive the file in the original format  (MP3, MP4 or MOV)
  3. The image files with JPG, PNG or BMP extension can be shown as images in the session


Any other format can be uploaded to room, but:

  • It cannot be opened in the room
  • It will only be available for download (with the file being downloaded in the original format in which it was uploaded: .csv, .xlsm, etc.)
  • It shows with the "link" icon; example of convertible files (.xlsx) and non-supported files (.csv, .xlsm, etc.)


What is the maximum file size I can upload into a room?

The maximum size of a single file to be uploaded into mashme.io shared memory in a room is 200 MB.

There is no limit in the amount of storage in a room.

We are currently working to increase the maximum size to files up to  1,5GB; once the enhancement is deployed, it will be notified in the release notes. 


Uploading Presentations: it takes too long & the format sometimes changes

When loading a presentation in PPT format, the process of converting the file to upload and store it in the shared memory might take longer depending on the content of the presentation and it might occur that formatting changes.

Therefore, to speed up the process and keep the formatting, it is recommended to first save it into PDF format and then upload it to the room.


Uploading Presentations: conversion to pdf format

Presentations can be uploaded and stored in room in any format (.pdf, .ppt, .pptx, .pptm, …)

  • when uploaded, they are converted to PDF, pages being a captured image of each slide
  • when downloaded, they recover their original format and properties

Presentations from room can either be opened in session or downloaded by participants (if visible):

  • Present → when uploaded to room, presentations are converted to PDF files and shown when opened as image PDF slides, meaning:
    • Links, hyperlinks or embedded audios/videos will not work
      • workaround: send via class chat or upload separately to room (respectively)
    • Animations and transitions between slides will not be displayed
      • workaround: use a different slide for each animation
    • Custom Fonts (corporate branding) are only available for the specific organization, hence after the conversion, texts may not display properly (wrong style, size and/or position)
      • workaround: use compatible fonts or convert to image-pdf with your org’s tools
    • Remember you cannot zoom in/out on a presentation, so when creating slides content, follow the general tips for an engaging presentation file: 
      • Choose an appropriate font size for the text (bigger rather than smaller)
      • Distribute content in different slides (instead of fewer and crowded)
      • Avoid using tables/diagrams with plenty of data (be more visual)
  • Download → presentations will be downloaded back in their original format (.pdf, .ppt, .pptx, .pptm), having all original features available again (links, slide transitions, fonts, etc.)

Recommendations:

  • If the resource is going to be open during a session ⇒ upload it in PDF format (convert it first)
    • If using original format, check before the session that the conversion was successful
  • If stored in the room as a downloadable resource for participants ⇒ use its original format
    • Remember to make it visible, as files upload hidden by default
  • You can also upload Google Slides files, using the mashme integration (Upload>GoogleDrive)
    • Collaboration can be open to participants (clicking on the padlock)
    • The file will be stored in the Drive account as well as in the room repository
    • Beware that some countries or organization may have google services blocked
